Context
Our client needed to optimize the process of creating labels for their coffees, which included variable information depending on the origin, coffee type, roast, language, and package format.
Until then, manual label editing was a slow, inflexible process with a high risk of errors, especially when working in multiple languages.
The challenge was to create a simple, reusable system that was not dependent on complex software, and that the client could manage autonomously.
Approach and solution
Belay proposed an Excel-based automation, conceived as an internal production tool, not a static document. The goal was for the client to generate label texts quickly and consistently, simply by entering key product data.
The solution was designed to function as an adaptable base for different bag formats and future evolutions of the coffee catalog.
Actions carried out
An Excel file was structured with dynamic fields for various product variables (coffee type, origin, process, roast, format, language), connecting this data with automated texts in several languages (DE / EN / ES).
Special attention was given to the document’s logic so that the final texts were generated clearly and ready for use on labels, avoiding duplications and manual errors.
Additionally, texts in the different languages were reviewed and adjusted to ensure brand consistency and clarity for the end customer.
The system was designed from the outset as a flexible tool, allowing for future adjustments in design, bag sizes, or content changes without redoing the entire process.
Results
The client now has a lightweight and functional automation tool that significantly reduces the time needed to prepare new labels and minimizes errors in multilingual texts.
This exercise demonstrates how simple, well-planned automation, adapted to the client’s real context, can have a direct impact on day-to-day efficiency, without the need for complex or costly systems.
